1. Information We Collect
RetentionDesk collects the following data to provide the Service:
- Discord Activity Data: Message counts, reaction counts, voice join events, and channel visit events for members with your designated paid role
- Member Identifiers: Discord user IDs and usernames (not email addresses or personal information)
- Server Information: Server ID, server name, and configured role names
- Account Information: Client username and hashed password for dashboard access
2. How We Use Your Data
We use collected data solely to:
- Calculate daily engagement scores for each monitored member
- Identify members showing churn risk signals
- Display analytics and insights in your dashboard
- Track outreach actions and retention wins you record
We do not use your data for advertising, profiling, or any purpose other than providing the Service.
3. Data Storage and Security
All data is stored in a secure database (Supabase) with industry-standard encryption. Each client's data is completely isolated — no client can access another client's data. We use JWT-based authentication for all dashboard access.
4. Data Sharing
We do not sell, rent, or share your data with any third parties. We do not use your Discord member data for any purpose other than providing RetentionDesk to you.
5. Discord's Role
RetentionDesk operates within Discord's approved bot framework using only read-only permissions. We comply with Discord's Developer Terms of Service and Privacy Policy. Member activity data is collected through Discord's Gateway API.
6. Data Retention
Activity events older than 90 days are automatically deleted. Upon account cancellation, all your data is permanently deleted within 30 days. You may request immediate deletion of your data by contacting us.
7. Your Rights
You have the right to:
- Access the data we hold about your server and members
- Request deletion of your data at any time
- Export your data in CSV format from the dashboard
- Opt out of the Service at any time by canceling and removing the bot
8. Cookies
RetentionDesk uses localStorage (not cookies) to store your authentication token for dashboard access. No tracking cookies are used on any RetentionDesk page.
9. Children's Privacy
RetentionDesk is not intended for users under 18 years of age. We do not knowingly collect data from minors.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify active subscribers of material changes. Continued use of the Service after changes constitutes acceptance.
